Once created, the load lifecycle goes through three distinct levels of statuses, each providing valuable insights:
Global statuses #
These represent the current status of a load as it progresses through the transportation lifecycle, from load creation through execution to delivery. There are six global statuses: Possible, Ready/Booked, Covered, Dispatched, In Transit, and Delivered/Completed. While changes between these statuses are required, it is possible to skip directly from Possible to Dispatched and from Dispatched to Delivered. It is important to note that Dispatched and Delivered are significant milestones in this process.
Stop completion #
After the load is dispatched, this status indicates whether a specific stop along its route has been successfully completed. Once your load reaches its destination, before you change its status to “Delivered,” you will need to mark stops as completed.
Stop status update #
These updates offer real-time insights into specific events occurring at a particular stop. Examples include waiting for pickup, reporting a late arrival, or any other critical activity that affects the load’s journey. Filling these stop status updates is optional.
Global Load Statuses: #
Possible #
A new load has been announced but not yet confirmed. It may still be in the planning phase or awaiting final approval. Details such as the carrier, route, and delivery timeframe may still be in the process of being finalized.
Ready/Booked #
The load has been created and the customer has approved the price and route, and it is time to find a driver and truck. This usually means you have received the Rate confirmation and confirmed it.
Covered #
The driver has accepted the sent Rate/Dispatch confirmation and is committed to transporting the load.
Dispatched #
The driver has received all necessary information, accepted the route, and started the job. The load assets are locked, indicating that the transportation has officially begun. Any changes can only be made through the Switch Dispatch or Load Drop functionality.
In Transit #
The load has been picked up and is currently on its way to the destination.
Delivered/Completed #
The load has reached its final destination and has been handed over to the consignee. The transaction is now considered complete, all stops have been completed, and the load is ready for handover/invoice.
Canceled #
The load has been canceled before or during the transportation process. This may occur due to changes in plans, customer requests, or logistical issues. (This is not the same as TONU.)
Required fields for updating the load status #
Updating a load’s status is essential for maintaining accurate and up-to-date records throughout the shipment lifecycle. Certain mandatory fields must be completed for each type of load status change to ensure the system captures all necessary details.
Canceled #
The planning and execution of the freight order were canceled. The mandatory fields are “Mode” and “Customer”.
Possible #
The mandatory fields are Mode, Customer, and Office. Since this is the load’s initial status, these fields are mandatory in all statuses.
Ready #
At least two locations must be added to this load status. The mandatory fields for each location will be Location name and Pickup type. Also, each location must have a pickup date and time, i.e., the From field filled in.
Covered #
Mandatory fields are Driver and Truck.
Dispatched/In Transit/Delivered #
There are no mandatory fields for updating the load in one of these statuses. It is assumed that you have already filled in all required fields in the aforementioned statuses.
Confirming Dispatched status #
When you have a load prepared for dispatching and all necessary fields are completed, changing the load status to “Dispatched” will prompt a confirmation dialog. This dialog includes important information about dispatch rules, ensuring the user fully understands the action before proceeding.
Locking fields upon dispatch #
When you have set your load to “Dispatched” or “In transit” status, then the fields Driver, Co-Driver, Truck, and Trailer will be locked, and the system will calculate the “Empty Miles” field based on the truck’s last location.
Note: If the truck has moved from its original location between the load’s creation and dispatch, the system will calculate the new empty miles based on the truck’s location at the time of dispatch.
Completing stops in Dispatched/In transit statuses #
When you have created a route that is in the “Dispatched” or “In Transit” status, use the Complete this Stop option to mark each stop as completed.
Important: Before changing the load’s status to “Delivered,” ensure that all stops have been marked as completed after the load reaches its destination.
Confirming Delivered status #
When a load is in the “In Transit” or “Dispatched” status, and all stops have been completed, you can change its status to “Delivered.” This action will prompt a confirmation dialog to ensure you intend to proceed. The dialog will provide additional information outlining the rules and conditions for marking the load as delivered.
Posting the status update for stops in Dispatched/In transit statuses (Optional) #
When you have created a route that is in “Covered,” “Dispatched,” or “In Transit” status and need to update the stops, use the Post Update option located under each location. Please note that this feature is optional and should only be used to provide information about specific events occurring at a particular stop, such as a pending pickup, late arrival, or any other situation that affects the load’s progress.
Changing assets by using “Assets Drop and hook” (Optional) #
Using this option, you can change assets (driver, truck, trailer) if necessary.
If you need to change a trailer, select the Drop and optionally swap trailer at this location option. After that, you will choose the location and time for trailer pickup.
If you need to change a driver or a truck, use the Swap assets at this location option. You can select a driver or truck from the available fields or choose them from the Dispatch Manager option.
Dropping a load #
The drop load option allows you to pause an ongoing load by changing its status to dropped. This option becomes available after you add a Stop-off location for your load.
